Privacy Policy
The short version: we collect information to run Grant Wizard, improve the Service, and understand and improve our advertising, we don’t sell your personal information, and we don’t use your content to train third-party AI models. You can export or delete your data at any time.

Who We Are
1.1Grant Wizard ("we", "us", "our") is an AI-powered grant writing platform that helps nonprofits, startups, and social enterprises discover funding opportunities and draft grant proposals.
1.2This Privacy Policy explains what information we collect when you use our website, mobile app, and related services (collectively, the "Service"), how we use it, who we share it with, and the choices you have. By using the Service, you agree to the terms described here.

Information We Collect
2.1Account information. Your name, email address, phone number, password (hashed), and the Google account ID if you sign in with Google. We never store your Google password.
2.2Organization profile. Information you provide about your organization — name, country, sector, mission, size, registration status, founding date, leadership team, funding history, and supporting documents you upload. We use this to match you to relevant grants.
2.3Content you create. Proposals, drafts, comments, budgets, project concepts, and any text or files you upload or generate while using the Service.
2.4Payment information. When you purchase a subscription or credits, we collect billing details through our payment processor. We do not store full card numbers — only a token, the last four digits, brand, and expiry that we use to display your payment method and process renewals.
2.5Usage and device data. Pages you visit, features you use, timestamps, IP address, browser type, operating system, device model, app version, crash reports, and similar technical information.
2.6Communications. Records of emails, support tickets, and in-app messages you send us.
2.7Campaign and advertising information. We record how you found Grant Wizard, including referring websites, campaign details, and ad-click identifiers when present. With your advertising permission, we also measure visits to our public and billing pages, account registration, checkout and completed purchases. This can include browser and cookie identifiers, a coded customer ID, contact details for matching, and purchase amount and currency. Meta Pixel and the Conversions API may also share your IP address and browser information for matching.

How We Use Your Information
3.1Deliver the Service. Match you to relevant grants, generate AI drafts and budgets, store your proposals, process payments, send transactional emails (verification codes, receipts, expiry warnings).
3.2Improve the Service. Analyze aggregated, de-identified usage patterns to improve feature design, model quality, and reliability. Investigate bugs and performance issues.
3.3Communicate with you. Send service announcements, weekly grant digests (you can opt out), and replies to your support requests.
3.4Security and abuse prevention. Detect fraud, enforce our Terms, prevent unauthorized access, and meet legal obligations.
3.5We do not sell your personal information. We do not use the content you create to train third-party foundation models.
3.6Understand and improve our advertising. We use campaign and website activity information to see which ads bring people to Grant Wizard, measure engagement, and help show relevant Grant Wizard ads on platforms such as Facebook and Instagram.

AI Processing
4.1When you use AI features (grant search, drafting, budget generation, concept generation, fit analysis), the relevant inputs — your organization profile, grant details, and the specific prompt — are sent to third-party AI infrastructure providers that we use under contract. These providers process the data on our behalf to generate the response and do not retain it for their own model training.
4.2AI-generated content is a starting point, not a final product. You are responsible for reviewing, verifying, and editing AI output before relying on it in any submission. See our AI & Ethics page for details on human review responsibilities and funder AI disclosure policies.

Who We Share Information With
5.1Service providers. We use third parties under contract to provide infrastructure for hosting, email delivery (Postmark), payment processing (Paystack), AI generation, analytics, error tracking, backup storage (Cloudflare R2), and customer support. These providers may only process your data as instructed by us and may not use it for their own purposes.
5.2Team members and collaborators. If you invite teammates to a proposal or organization, they can see the proposals, drafts, and organization data you share with them at the access level you grant.
5.3Legal requirements. We may disclose information if required by law, court order, or to protect the rights, property, or safety of Grant Wizard, our users, or the public.
5.4Business transfers. If Grant Wizard is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction. We will notify you and post a notice on this page.
5.5Advertising partners. With your advertising permission, we use Meta Pixel and the Conversions API to share website activity and confirmed purchase information with Meta to measure our advertising and show relevant ads. Customer IDs and contact details used for matching are hashed before transmission — converted into coded values Meta can compare with its users. We do not send your grant applications or proposal content through these tools. Meta processes information under its business terms and Privacy Policy.

Data Retention
6.1We keep your account and content for as long as your account is active.
6.2When you delete your account, we soft-delete it for a 30-day recovery window. After that, your personal data is permanently deleted from our active systems within 60 days. Backups containing your data are retained for up to 90 days, after which they are overwritten on rotation.
6.3Anonymized, aggregated usage data may be retained indefinitely for analytics and product improvement — this data cannot be linked back to you.
6.4We may retain certain records longer when required by law (for example, tax records).

Your Rights
7.1Depending on where you live, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Delete your account and personal data (subject to the retention rules above)
- Export a copy of your data in a portable format
- Object to or restrict certain processing
- Withdraw consent where we rely on consent as the legal basis
7.2You can exercise most of these rights directly in the app: edit your profile in Settings, export your data from the Settings page, or delete your account in Settings → Account.

Security
8.1We protect your information using industry-standard practices: TLS encryption in transit, encrypted backups, hashed passwords (bcrypt), least-privilege access for our team, and regular security reviews.
8.2No system is perfectly secure. If you believe your account has been compromised, contact [email protected] immediately and we will help secure it.
9.
Children's Privacy
9.1Grant Wizard is intended for use by adults representing organizations. We do not knowingly collect personal information from children under 18. If you believe a child has provided us with personal data, contact [email protected] and we will delete it promptly.
10.
Cookies and Similar Technologies
10.1We use cookies and local storage to keep you signed in, remember your preferences, and measure how the Service is used. You can clear these at any time through your browser settings — note that doing so will sign you out and may reset some preferences.
10.2Advertising cookies and pixels. We use Meta Pixel and related cookies to measure website activity and support relevant advertising across websites and apps, including Facebook and Instagram. We also use a first-party campaign cookie to remember how you first reached Grant Wizard for up to 30 days.
10.3Your choices. You can allow or decline advertising measurement using the controls below. You can change your choice at any time. Declining does not prevent you from using Grant Wizard or making payments. We also respect the Global Privacy Control signal where your browser provides it. You can manage personalized advertising through your Meta account settings. For questions or requests, contact [email protected].
11.
Changes to This Policy
11.1We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other reasons.
11.2When we make material changes, we will notify you by email (to the address associated with your account) and post a notice in the app at least 14 days before the changes take effect. The "Last updated" date at the bottom of this page always reflects the current version.
